Manage Your Team

User management lets you control who has access to your organization and what they can do. You can invite team members, assign roles, and remove people when needed.

When you invite someone, they receive an email and gain access based on the role you assign. You can change their role or remove them at any time.

By managing roles carefully, you ensure the right people have the right level of access — giving team members what they need to work while keeping sensitive settings protected.

Roles & Permissions

YEOS uses a simple three-role system. Each role has a clear scope of access.

Owner

The person who created the organization. Owners have full control over everything, including billing, deleting the organization, and managing all settings. There is exactly one owner per organization.

Admin

Admins help manage day-to-day operations. They have broad access to most settings but cannot delete the organization or change billing.

Member

Members are regular team members who use YEOS to search documents and get answers. They have no administrative access.

Inviting Team Members

Organization owners and admins can invite new members by email. If the person does not have a YEOS account yet, an invitation link will be sent to their email address.

Go to Organization Settings

Navigate to your organization settings and open the Members section.

Enter Email Addresses

Enter one or more email addresses of the people you want to invite. You can add multiple addresses at once.

Choose a Role

Select whether the new members should be Admins or regular Members. You cannot assign the Owner role through invites.

Send Invitations

Click Send. Existing users are added immediately. New users receive an email with a link to create their account and join the organization.

Note: The number of members you can invite depends on your plan. Free plans have limited seats, while paid plans offer more. If you reach the limit, you can upgrade or remove inactive members.

Changing Roles

Owners can change any member's role. Admins can promote Members to Admins, but cannot change the owner's role or affect other admins.

Only owners can assign or remove the Admin role

Only owners can transfer ownership to another member

Admins cannot remove or demote other Admins

Any admin or owner can remove a regular Member

Members cannot change their own role

Removing Members

Owners and Admins can remove members from the organization. Removed members lose access immediately and can no longer use the organization's documents or agents.

Removed members lose access to all conversations and documents

Their conversation history is deleted

Uploaded files remain unless specifically deleted

They receive an email notification

You cannot remove the organization Owner. To transfer ownership, use the role change feature.

Common Questions

Can I have multiple owners?

No. Each organization has exactly one owner. If the owner needs to change, ownership can be transferred to another admin from the Members section.

Can admins delete documents?

Yes. Admins can upload, view, and delete documents. Regular members can upload documents but cannot delete files added by others.

What happens when I remove someone?

The person loses access immediately. Their conversation history is deleted, but any documents they uploaded remain unless explicitly deleted.

Can I see who invited a member?

Yes. In the members list, each member shows who invited them and when they joined.

Can members see each other's conversations?

Members can see conversation titles and timestamps in the list, but only Admins and Owners can view the full content of all conversations.

How do I leave an organization?

You can leave from your account settings. Owners cannot leave — they must first transfer ownership to another member.
